This Job: Corporate Event Planner


You'll Report To: VP of Marketing


What You'll Do: The Corporate Event Planner will have responsibility for the successful completion of all assigned corporate events hosted by American Integrity Insurance Company, including but not limited to agent showcase events throughout the state of Florida, special events hosted by the company at industry conferences, major 5-7 day excursions for top agents, company-wide employee events, and philanthropic events.  In addition, the Corporate Event Planner will lead efforts for special events to celebrate the company’s accomplishments.  He/she will be an integral part of the marketing team, facilitating webinars, trainings and smaller events for agents and other projects as needed.

What You’ll Do

What You'll Be Responsible For:

  • Assist with negotiations for space contracts and book event space, arrange food and beverage, order supplies, equipment and signage, and ensure appropriate décor to meet quality and Brand expectations.
  • Conduct research, make site visits, and find resources to help staff make decisions about event possibilities.
  • Create and revise room layouts for each event.
  • Propose new ideas to improve the event planning and implementation process.
  • Serve as liaison with vendors on event-related matters.
  • Work with media and public affairs team to coordinate press events and messaging is timed and released to effectively promote events.
  • Serve as company representative and/or host at company events.
  • Assist with managing on-site production and clean up for events as necessary.
  • Prepare nametags, materials, notebooks, packages, gift bags, registration lists, seating cards, etc.
  • Close out all events as required.
  • Assist with preparing budgets and provide periodic progress reports to staff directors for each event project.
  • Keep track of event finances including check requests, invoicing, and reporting.
  • Coordinate appointments and scheduling of events on the calendar.
  • Act as the point of contact as smaller events as needed.
  • Help to document activities prior to and during the events for internal and external communications.
  • Other duties as assigned.

What You’ll Need to be a Top Candidate

Education: Bachelor’s Degree in Hospitality, Marketing, or related discipline, or combination of education and experience.  
Experience: 1-4 years’ marketing experience in a business setting with a track record of planning and executing several corporate events.


  • Excellent communication skills, including writing, proof reading skills, and public speaking.
  • Excellent organization skills and experience with project management
  • Ability to manage multiple simultaneous projects and work assignments from a variety of staff and volunteers.
  • Excellent interpersonal skills both in person and by phone, with high professionalism.
  • Ability to accomplish projects with little supervision.
  • Fantastic customer service ethic and high expectations for quality.
  • Proficient using the Web to conduct research, event administration and procurement as well as with the latest versions of Microsoft Outlook, Word, Excel, PowerPoint.
  • Experience with Web communications, publishing, usability and/or social media is a plus.
  • Excellent project management skills; proven ability to collaborate with different constituencies and manage tasks to ensure deadlines are met and a quality product is produced.

Working Conditions: Normal business office environment. Must be able to remain in a stationary position for periods of time while constantly operating a computer and or other office productivity machinery such as a calculator or telephone. The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery or communicate with coworkers.

Travel: As needed to visit venues and attend conferences.
